The new feature aims to address a common compliance challenge: documents that expire unnoticed, leading to audit failures. According to FMCSA regulation 49 CFR §391.51, carriers must maintain 18 documents per driver, including pre-employment records, annual reviews, and ongoing testing. DOT auditors often review DQFs first and frequently find them incomplete.
The automatic reminders target documents such as medical cards, MVRs, and CDLs as they approach expiration. Drivers receive text messages at 30, 14, 7, and 1 day before expiry, and again if the document lapses, with a secure link to upload renewals from their mobile device. This process shifts the responsibility of chasing paperwork from the office to the system, ensuring files remain compliant without manual follow-up. The reminders are included on all plans at no extra cost, requiring only carrier-attested driver consent, with an option to opt out via reply.
FleetCollect tracks all 18 items required under §391.51 on a single dashboard, integrates with Checkr for background checks and drug tests, uses OCR to read uploaded documents, and allows drivers to upload records through a secure portal. The platform stores data encrypted with multi-year retention and can export a complete, audit-ready file as a PDF. It complements ELD and camera systems like Samsara and Motive, handling compliance paperwork those systems do not.
